Project Manager, Dramatic Arts Building - Yale University (New Haven, CT)

Position Focus

Reporting to the Dean/Artistic Director (Dean/AD) of David Geffen School of Drama at Yale (DGSD0/Yale Repertory Theatre (YRT) and the Chair of Technical Design and Production Program (TD&P)/Director of Production of DGSD/YRT, the Project Manager (PM) is directly responsible for ensuring that the DGSD program within the Yale Facilities managed Dramatic Arts Building (DAB) adheres to authorized scope, schedule, and budget parameters. The PM provides expert- level day-to-day management, coordination, and collaboration with DAB stakeholders and represents DGSD’s interests at meetings with the architect, construction manager, Yale planning/facilities, and contractors during the design, procurement, close-out, and move-in phases.

The Project’s goal is to construct a new building to house DGSD and YRT, and a portion of the Dramat and Theater, Dance, and Performance Studies (TDPS) on Yale-owned properties in New Haven, CT. The program for DGSD is composed of an entry lobby, offices, classrooms, meeting rooms, labs, production shops, rehearsal studios, green rooms, a 100-seat studio theater, and includes undergraduate rehearsal studios for the Dramat and TDPS along with offices and classrooms for TDPS. The program for YRT is a 400-seat flexible theater with lobby.

The Project Manager

  • Serves as the day-to-day primary point-of-contact for DGSD during the design, procurement, construction, closeout, and move-in of a multi-million-dollar capital building project, with continuous refining and re-sequencing of plans during the implementation and execution phases of the project.

  • Creates detailed project plans including timelines, budgets, and resource allocation documentation specific to DGSD to ensure successful project completion, and continuously validates their accuracy.

  • Manages a variety of complex schedules and budgets for DGSD, including the inventory of furniture, fixtures, and equipment (FF&E) for DGSD that will coordinate with the Yale Facilities FF&E project scope for the complete fit-out of spaces. Meets deadlines.

  • Oversees the execution and implementation of DGSD detailed project plans in concert with various stakeholders. Monitors and manages the DGSD master schedule.

  • Serves as DGSD’s liaison between architects, construction manager, vendors, Yale planning/facilities, building committees, and DGSD staff members through all phases of the project.

  • Monitors for DGSD all aspects of project risk during all phases of the construction process. Manages the resolution of planning, design, construction, and technical conflicts and recommends cost-effective options and approaches. Escalates issues to the Dean/AD and Chair of TD&P as appropriate.

  • Designs, develops, and executes communication systems to ensure effective exchange of information between project stakeholders, senior management, and staff.

  • Researches, collects, and organizes benchmarking information related to the DAB design, programming, and services provided at other institutions through correspondence, phone calls, and site visits; plans and conducts focus group interviews and other feedback mechanisms.

  • Manages for DGSD the commissioning and closeout process, especially supervising the satisfactory completion of punch list items before DGSD moves into the building. Manages post-occupancy of the building and staff move-in; assists and prepares DGSD faculty, staff, and students with the move and re-configuration of support spaces in venues still overseen by DGSD.

  • Documents and archives essential correspondence, change orders, photos, records, and drawings assuring that all are available, properly labeled, and properly stored.

Essential Duties

  • Manages several routine projects simultaneously and ensures that the design, testing, training, documentation and prioritization objectives are met.

  • Assists in refining and re-sequencing during the implementation and execution phases of assigned projects, as needed.

  • Works closely with business analysts, technical professionals, end users and project stake holders during the requirements, solutions design and implementation phases to develop detailed project plans for implementation.

  • Works on risk assessment, communication planning, development of performance metrics, and project entry criteria.

  • Creates detailed project plans including timelines, budgets, and resource allocation to ensure successful project completion.

  • Manages client expectations and provides issue/risk identification and escalation pathways.

  • May supervise the implementation team of cross-functional project and technical resources.

  • Designs, develops, and executes communication systems to ensure effective exchange of information between project stakeholders, senior management, and staff.


Required Education And Experience

Bachelor’s Degree in a related field and five years of related work experience or equivalent combination of education and demonstrated experience.

Required Skill/Ability 1

Knowledge of large-scale, complex, planning, design, and construction projects. Demonstrated success in managing complex projects to conclusion, meeting deadlines, and keeping within budget. Knowledge of architectural and construction means and methods, practices, and principles.

Required Skill/Ability 2

Knowledge of academic and performing arts venues which includes, but is not limited to, knowledge of classrooms, lab rooms for theater, production shops, rehearsal rooms, and theaters.

Exceptional written, oral, interpersonal, and presentation skills and the ability to effectively interface with a variety

of project stakeholders. Highly collaborative style; demonstrated experience and leadership in community engagement. Demonstrated ability to summarize highly complex issues and data for presentation and action.

Preferred Education, Experience And Skills

Bachelor’s degree and 8+ years of professional experience, five of which include demonstrated success as manager of a building project. Performing arts operations, renovations, or new build experience. University and/or large-scale capital projects experience as an owner's representative or as a consultant/contractor. Valid driver’s license and access to a vehicle.
